3. Participation and Conference Fees

Participation requires online registration, consent to the data privacy policy (GDPR), and acceptance of these terms and conditions.

4. Registration, Payment, and Cancellation

• Registration is only possible online via: https://smar-2026.org/registration/
• Registration is binding.
• Full and accurate personal details must be provided.
• After registration, TUDIAS GmbH will send a booking confirmation and invoice to the email address provided.
• Payment methods: bank transfer, credit card, or direct debit.
• Payment deadline is stated on the invoice.
• Cancellation Policy:
  • Cancellations until July 13, 2026: €50 processing fee.
  • From July 14, 2026: No refunds.
• Cancellations must be submitted in writing via email to: office@smar-2026.org
• The date the email is received determines cancellation validity.
• Refunds (if applicable) will be issued to the original payment method.
• A substitute participant may be named up to 10 business days before the event by emailing office@smar-2026.org.

5. Accommodation

Participants and accompanying persons must book their own travel and hotel accommodation.

6. Data Protection

All personal data is processed in accordance with the GDPR and §4 of the German Federal Data Protection Act (BDSG).
Data is collected, stored, and processed solely for the purpose of organizing and running SMAR 2026 (August 25–29, 2026).
No data will be shared with third parties.
By accepting these terms, participants consent to the processing of their personal data.
Data retention: Personal data will be deleted after the legal retention period.
Participant rights under GDPR: access, correction, deletion, restriction, objection, and data portability (Articles 15 ff. GDPR).

7. Photography and Video Recording

Photos and videos will be taken during the event (August 25–29, 2026) for the following purposes:

• Internal event documentation
• Publication in print (e.g., brochures, press) and digital media (e.g., website, social media)
• Sharing with event stakeholders (e.g., speakers, exhibitors, organizers)
• Publishing on the organizers‘ and TU Dresden’s websites

Participants grant unrestricted, royalty-free permission for worldwide publication of these images.
If you do not wish to be photographed or recorded, please inform the event photographer.
You may withdraw consent at any time via: office@smar-2026.org

Note: Images published before withdrawal may remain visible online or in print. Complete deletion from the internet is not guaranteed due to third-party sharing and search engine indexing.

8. Hygiene and Safety Regulations

All participants must comply with the legal and organizer-issued hygiene guidelines valid at the time of the event.
These guidelines will be sent via email prior to the event and will be available at the registration desk or upon request.
Violation of hygiene rules may result in exclusion from the event. In this case, no refunds will be given.
Any fines or legal consequences arising from violations are the sole responsibility of the individual.

9. Liability

The organizers are not liable for:

• Any damage or loss related to travel or accommodation
• Any personal injuries or property damage incurred during the event unless caused by the organizer’s negligence
• Loss or theft of personal belongings
• Damage caused by participants to other participants

10. Force Majeure

If the event must be cancelled due to force majeure or official orders, participants, sponsors, or exhibitors shall not be entitled to claim compensation from the organizers.
In such cases, participation fees will be fully refunded. Sponsorship and exhibitor fees will be refunded at 50% of the total amount to cover incurred costs.

If a replacement date can be offered, registrations, sponsorships, and exhibitor agreements may remain valid, and previously paid amounts will be retained.

All other applicable legal provisions remain unaffected.

11. Exclusion from Participation

The organizers reserve the right to exclude participants from the event in exceptional cases, such as:

• Default of payment
• Disruption of the event
• Violation of hygiene rules or operational procedures

Smoking, drug use, and the consumption of illegal substances are strictly prohibited in all event facilities.
In case of exclusion, participation fees will not be refunded.

12. Final Provisions

The organizers reserve the right to modify the program or replace speakers for compelling reasons, including at short notice.

Jurisdiction is Dresden, Germany. German law applies.
If any provision of these GTC is found to be invalid, the remaining provisions shall remain in full force and effect.
